Host your own virtual exhibition.

1. Application and confirmation
Submitting this request records the organizer’s requirements and acceptance of these hosting terms. It is not an automatic booking, final contract, invoice, or guarantee that Photographers.lk will accept the exhibition. Hosting begins only after Photographers.lk reviews the proposal, confirms availability and scope in writing, and the agreed payment requirements are completed.

2. Hosting fee and additional charges
The displayed fee is the current standard hosting fee per virtual exhibition. The final quotation may change if the requested duration, number of photographs, technical work, design work, data preparation, SMS voting volume, or other custom services exceed the standard scope. SMS gateway charges, paid promotion, extensive content preparation, and third-party services are charged separately unless expressly included in writing.

3. Organizer responsibilities
The organizer is responsible for supplying accurate exhibition details, final approved photographs, titles, descriptions, author names, contact information, and required credits before the agreed deadlines. Delays or incomplete material may require the opening date to be changed.

4. Copyright, permissions and lawful content
The organizer confirms that every submitted photograph and text may lawfully be displayed online and that all necessary copyright permissions, model releases, property releases, author permissions, and guardian permissions have been obtained. The organizer remains responsible for copyright claims and disputes arising from supplied material.

5. Content standards and moderation
Illegal, defamatory, hateful, deceptive, abusive, sexually exploitative, privacy-infringing, malware-containing, or otherwise harmful material is prohibited. Photographers.lk may reject, hide, suspend, or remove content or an exhibition when reasonably necessary for legal, security, ethical, or platform-protection reasons.

6. Photographer collection links and personal data
If secure contributor links are used, the organizer must send each link only to its intended photographer and must explain what information will become public. The organizer and participating photographers are responsible for the accuracy of profiles and for choosing whether contact details are publicly visible. Personal data must be collected and used only for legitimate exhibition purposes.

7. Public access, comments and audience voting
The organizer must select public or registered-user access. Comments are subject to moderation. SMS OTP voting is an audience-engagement feature and must not be represented as professional judging unless separately agreed. Mobile numbers and voting records are processed to validate votes and prevent abuse. Gateway availability and message delivery are outside the direct control of Photographers.lk.

8. Exhibition dates and changes
Public access automatically follows the confirmed Sri Lankan start and end date/time. Material changes requested after setup has started, including date changes, replacement of many photographs, major design changes, or additional features, may require extra time and charges.

9. Availability and technical limitations
Photographers.lk will use reasonable professional care to operate and protect the platform, but uninterrupted availability cannot be guaranteed during hosting-provider failures, internet outages, maintenance, cyber incidents, force majeure, or third-party service failures. Reasonable recovery efforts will be made where practical.

10. Payments, cancellation and refunds
Payment stages, due dates, cancellation terms, and any refund eligibility will be stated in the written quotation or confirmation. Work may be paused when a required payment or organizer deliverable is overdue. Costs already incurred for setup, design, SMS, third-party services, or completed work may be non-refundable.

11. Reports, retention and removal
Available audience statistics are operational estimates and may be affected by privacy controls, bots, shared devices, network conditions, or blocked scripts. After the exhibition and any agreed reporting period, Photographers.lk may archive or remove exhibition files and records according to its retention and backup practices. Organizers should keep their own original photographs and records.

12. Consent and authority
The person submitting this request confirms that the information is accurate, that they are authorized to act for the named organizer or organization, and that these terms will apply if the exhibition is accepted and confirmed. Final scope, dates, price, payment schedule, and special conditions remain subject to written confirmation by Photographers.lk.
